What are Our BOM Management and Engineering Change Control Processes

BOM Receipt and Validation
Upon receiving a customer BOM, our engineering team performs a structured validation: verifying part numbers against manufacturer databases, checking for obsolete or end-of-life components, confirming package types match PCB footprint data, and identifying any missing specifications (tolerances, voltage ratings, temperature ranges). Any discrepancies or questions are documented and returned to the customer for clarification before production planning begins.

BOM Format Standardization
While customers provide BOMs in various formats (Excel, CSV, PDF, or EDA exports), we convert all data into a standardized internal format. This format includes line item numbers for every component, manufacturer part number and description, customer part number if applicable, package type and footprint reference, quantity per board, and reference designator list. Standardization eliminates interpretation errors and enables automated processing by our ERP/MES systems.

Engineering Change Notification (ECN) Process
When changes are required—component substitution, quantity adjustment, or specification update—we follow a formal ECN process. The customer submits change request in writing, our engineering team assesses impact on assembly, test, and procurement, we provide cost and schedule implications for approval, and after written customer approval, we update all internal documentation and systems. No change is implemented without documented customer authorization.

Component Substitution Management
Component obsolescence or allocation may require substitutions. Our process includes identifying functionally equivalent alternatives, verifying package compatibility and pinout, confirming thermal and electrical specifications, requalifying the assembly with the new component through testing, and documenting the substitution for traceability. Customers always have the right to approve or reject proposed substitutions.

BOM Version Control
All BOM revisions are tracked in our MES system with complete version history. Production orders are linked to specific BOM versions, preventing mixing of old and new components. Any ECO automatically supersedes previous BOM versions for all future orders, while existing orders in progress are completed to the original version unless customer requests upgrade. This controlled approach prevents costly errors.
